How to Use Trello as a CRM or Lead Tracker

In the previous Trello articles, I showed you how to set up your company as an Organization and make projects into Boards – that is, all the information for that project was contained in a single Board.

If you tried this, you probably realized that a sizable project was very difficult to manage in this manner.

In this video, I’m going to show you how to manage your projects by making each individual project its own Organization, e.g., the Mansion Bathroom Project would be the name of the Organization rather than the name of a board residing in your company Organization.

Trello-post-image 4This method allows you to compartmentalize the information you need to manage your project. I’ll be showing you how to use each of the typical boards within the Organization (henceforth called project).

Each project will have 6 boards in it:

  1. Design Phase
  2. Hand-off to Production
  3. Rough-in Phase
  4. Trim-out Phase
  5. Wrap-up Phase
  6. Post-Project Phase

In addition to these boards, there is also a board called Contact Information that resides in your Company organization. That’s where we are going to start today – how to use Trello to capture your contact information, convert the contact to a lead, then to an active lead. When the Design Retainer Agreement or Estimate Agreement is signed the contact information is sent off to the Design Phase board of that particular project.

Most of the boards, which I will be sharing with Intermediate and Premium Members, will have actual contract forms and checklist links, such as Design Retainer Agreements, a fillable PDF Lead Sheet, Pre-Construction Conference contracts, Subcontractor Agreements, etc. In all fairness, most of these will only be available to Premium Members. The cool part of this is that the forms and contracts are actually linked on the cards themselves, so you’ll always have access to a fresh copy for your own use.
